Abstract: OpsNova Al is an Al-powered business management system that helps small businesses handle invoices, customer information, payments, and daily operations on a single digital platform. Many small businesses still verify invoices, maintain customer records, track payments, and follow up with customers by hand. This work is time-consuming and can lead to calculation errors, missed payments, and delayed communication. With the proposed system, users can either upload an invoice or enter billing details manually. For uploaded invoices, Al-assisted Optical Character Recognition (OCR) and intelligent document processing help identify key details such as customer information, invoice amounts, payment information, and due dates. The system then shows the extracted data to the user, who can correct any incorrect or incomplete details before the data moves further. OpsNova Al analyzes invoice and payment data to determine each invoice's total, received amount, balance due, and overdue status. Using these figures and the customer's information, it can suggest actions such as payment follow-ups. The user reviews and approves each suggestion first, and only then does the system act. The system also keeps customer records consistent across transactions. When a user creates a new invoice for an existing customer, the system links it to that customer's record instead of creating a duplicate. This preserves the invoice history and lets the system calculate the total outstanding amount across all of a customer's invoices. Once the user approves, the system contacts the customer by email or messaging, using the contact details on file. Beyond invoicing and payments, the system gives users access to customer information, transaction history, payment status, outstanding balances, and communication records. Its analytics cover income, invoice collections, pending payments, overdue amounts, and customer activity. It also offers Al-generated insights into business performance and highlights issues that need attention. Users can edit extracted data, payment calculations, and recommended actions at any time. An administrative interface lets authorized users monitor and manage activity across the platform. The system keeps important business decisions in the user's hands and takes no significant action without approval. Future work may include additional business workflows, deeper financial analysis, automated reporting, more communication channels, better document understanding, and support for higher transaction volumes.
